Refund & Cancellation Policy
This policy outlines the cancellation and refund terms applicable to digital engineering services, SaaS platforms (such as HYVORA EduERP), and custom software engagements delivered by HYVORA(“we”, “us”, or “our”).
1. Scope & Applicability
Because HYVORA delivers customized engineering services, intellectual work, and cloud software subscriptions, cancellation and refund provisions depend on the specific engagement model:
- Custom Software, Web & Mobile App Development
- SaaS Subscriptions & Cloud Platforms (HYVORA EduERP)
- Third-Party Out-of-Pocket Expenses
- Complimentary Consultations & Walkthroughs
2. Custom Software & App Development
Custom engineering projects operate on a milestone-based delivery structure formalised in the project Statement of Work (SOW):
- Completed Milestones:Once a project milestone (e.g. Discovery & Wireframes, Prototype Architecture, Staging Deployment) has been completed, reviewed, and approved by the client, payments allocated to that milestone are non-refundable due to dedicated engineering labor and computing costs expended.
- Mid-Project Cancellation: Either party may cancel the project before subsequent unstarted milestones begin by providing written notice via official email. In such cases, unearned advance payments for future unstarted milestones will be refunded, while work completed up to the date of notice remains billable.
- Work-in-Progress Handover: Upon settlement of account balances following early termination, completed code, assets, and design files up to that stage will be transferred to the client.
3. Third-Party Pass-Through Costs
Expenses incurred on behalf of a client for third-party services (such as domain registrations, dedicated cloud servers, third-party API token credits, or third-party software licenses) are non-refundable once purchased, as those fees are paid directly to external vendors.
4. SaaS & EduERP Subscriptions
For educational institutions and organizations subscribing to cloud-hosted software:
- Subscription Cancellation: Recurring subscriptions may be canceled by providing written notice at least 15 days before the upcoming renewal billing cycle.
- Access Period: Access remains active until the end of the paid subscription billing term.
- Setup & Customization Fees: One-time data migration and custom integration setup fees are non-refundable once technical work has commenced.
5. Discovery Sessions & Product Demos
All introductory discovery sessions, initial consultations, and HYVORA EduERP demonstrations requested via our website are 100% complimentary with zero billing obligation.
6. Refund Request Procedure
To submit an inquiry regarding cancellations or refunds:
- Email hyvora.official@gmail.com from your registered business email with the subject line “Cancellation / Refund Request - [Project/Organization Name]”.
- Include invoice reference numbers and details regarding the milestone or service.
- Our team will review the request and respond within 3 business days. Approved refunds are processed within 7 to 10 business days via the original payment method or bank transfer.
